This Artificial Intelligence (AI) Use and Notifications document (“AI Use Terms”) applies to the services that Granted Consulting Inc (“Granted”, “we”, “us”, “our”) provides to our clients and customers and all persons authorized to act on behalf of our clients and customers (“you”, “your”) via GetGranted, GetGranted Lite, and GetGranted Plus, as those services (collectively, the “Services”) are described on our website http://www.getgranted.ca (the “Website”).
These AI Use Terms are intended to provide you with additional information regarding our use of AI during the provision of our Services to you, including general information on the guidelines and policies that we maintain, update, and follow when it comes to our handling of your personal data and other confidential or sensitive data with the assistance of AI.
If you receive Services from us via GetGranted, GetGranted Lite, and GetGranted Plus, or any combination of them, these AI Use Terms are incorporated by reference into the agreement between you and us with respect to those Services (an “Agreement”). By ordering or using the Services, you acknowledge and accept these AI Use Terms and agree to be bound by them. These AI Use Terms become effective immediately upon your initial use, order, or purchase of any of the Services, if any of those occur on or after the Effective Date. If you are an existing client or customer, these AI Use Terms become effective 30 days after we notify you in writing of their publication on our Website.
If you object to these AI Use Terms but still wish to use our Services, please reach out to us at help@granted.ca.
If there is a conflict between these AI Use Terms and an Agreement, these AI Use Terms will supersede and govern.
Throughout these AI Use Terms, we use certain capitalized terms, which are either defined below or directly within the context in which the capitalized term was first used:
“Account” means the account you created with us that relates to your purchase or subscription to one or more of our Services.
“AI” means artificial intelligence, or technology that enables computers and machines to simulate human learning, comprehension, problem-solving, decision making, creativity, and autonomy.
“Confidential Information” has the meaning given to it in our Terms and Conditions.
“De-Identified Data” and “De-Identification” Data and other information are considered to be de-identified when all personally identifiable information has been removed or obscured, such that any remaining information does not reasonably identify a specific individual or entity including, but not limited to, any information that, alone or in combination, is linkable to a specific individual or entity.
“Data” means all data submitted to us by you and collected, processed, and/or stored by us within the bounds of your Agreement with us regarding our Services, including all content, material, IP addresses, messages, metadata, and account information and your Confidential Information, but does not include information and data about you that is readily available via publicly accessible sources.
“GPT” means a generative pre-trained transformer, a type of large language model that utilizes deep learning to produce human-like text.
“Generative AI” is a type of AI that uses machine learning to generate new content in response to a user’s query, such as generating or reviewing/modifying computer code, writing essays or business communications, creating artwork, and analyzing large amounts of data. Examples of prominent Generative AI tools are ChatGPT by OpenAI, Bing Chat, Jasper, Google Bard, and Dall-E.
“Input” means data which is added to AI to explain a problem, situation, or request, and in the context of an Agreement between you and us, can include your Data and De-Identified Data.
“Output” means new data that AI creates or synthesizes based on Input and the AI’s algorithm.
1. Mission Statement
We aim to set the standard for excellence in grant consulting by integrating our human expertise with advanced AI tools to deliver consistent success rates and outcomes for our clients. Through the integration of AI in the grant-writing and management processes that we have been crafting and perfecting since our inception, we envision a future where our clients achieve their funding goals with greater confidence and efficiency. We are using Generative AI’s transformative power as a tool to enhance our writing, research, and strategic consulting services for one purpose: to deliver greater efficiency and value while also maintaining the highest standards of professional integrity, quality, and ethical responsibility.
2. Background
AI and Generative AI offer the capability to perform numerous tasks more efficiently and accurately, such as analyzing data, creating content, making predictions and automating tasks. Accordingly, we have integrated AI within our existing grant-writing and management processes so that our Services are more effective and efficient, resulting in better results for you. However, AI is complex and is constantly and rapidly evolving. As such, the use of AI presents potential risks, limitations, and restrictions in several key areas of our Services, including but not limited to confidentiality, privacy, and intellectual property. The purpose of these AI Use Terms is to help you better understand our usage of AI (including GPTs and Generative AI) in providing you our Services, and to help you better understand the risks, limitations, and restrictions related to our usage of AI so that you can make informed decisions about your use of our Services and the Data you provide us.
3. Use of Licensed AI Technology; De-Identified Data
3.1 The AI that we use in providing our Services are powered by third-party AI models used under license, and we reserve the right at our sole discretion to add additional models or change our existing models without notice to you.
3.2 While we rely on third-party internal AI models under license to process Inputs and generate Outputs, all Data, in particular Confidential Information, submitted by you in the course of receiving our Services is processed and managed exclusively within our controlled environment.
3.3 Your Data is not shared with or transmitted to any third-party provider for training or improvement of their models but is used to train, develop, and improve our internal AI models, and you agree that we may do so, both during and after the term of an Agreement between you and us. Any of your Data used to train, develop, or improve our internal AI models will remain your Confidential Information and we will maintain confidentiality of such Data despite termination of any Agreement between you and us.
3.4 By entering into an Agreement and receiving our Services, you grant us the right to De-Identify your Data and the perpetual right to store, use aggregate and analyze such De-Identified Data for the purpose of training and improving our internal AI models. We always use human resources to manually De-Identify Data and do not utilize the assistance of AI or other technology in this process.
4. Use of General AI Technology
4.1 In addition to third-party AI models that we use under license, we may also use openly available AI models (For example, ChatGPT, Perplexity, etc.) in the course of providing the Services. We use openly available AI models for aspects of our Services that do not require your Data as Input; in particular, we may use as Input De-Identified Data or information and data about you that is publicly available (e.g. information contained on your website).
4.2. We do not use your Data (particularly, Confidential Information such as identifiers, financial data, and competitive strategies) as Input for generally available AI models for training or improvement of those models. We may, however, use De-Identified Data, including your Data that has been De-Identified, as Input for generally available AI models.
5. Our AI Use Commitments
5.1 We use commercially reasonable efforts to identify and use leading third-party AI solutions and models, and we conduct thorough reviews of the performance and security (of both the third-party AI tools/models and the wider infrastructure used to host and deliver them) of the solutions and models we choose to assist us in providing our Services to you.
5.2 We are committed to providing transparency on how your Data is processed, how your Data becomes De-Identified Data, and how your De-Identified Data becomes part of our internally controlled environment.
5.3 We take commercially reasonable steps to minimize bias, test system reliability, and protect your privacy.
5.4 We have dedicated trigger points and mandatory approval gates built into our workflows to ensure that all AI-generated content is reviewed by at least one of our expert team members for quality assurance and validity, with our professional judgment remaining the central key to Service delivery and success.
5.5 Our grant-specific training data (comprised of De-Identified Data gathered over years of successful grant writing), specialized workflows, and industry expertise embedded within our internal AI systems are one of our primary competitive advantages and as such, we protect this competitive advantage through strict access controls, confidentiality agreements, and secure platform selection.
6. General Limitations of AI
6.1 As a rapidly developing and evolving space, the AI landscape is constantly changing. We have taken into consideration a variety of limitations to the usage of AI in our provision of the Services to you, and we have enacted the safeguards to AI’s limitations as outlined in section 5 above (Our AI Use Commitments). We continue to monitor and update our safeguards and systems to account for new developments. Examples of AI limitations include:
a) Errors and Inaccuracies. AI systems are not always accurate and error-free. AI can make mistakes when processing and/or generating information, and depending on the GPT/AI model and the Inputs given to it, can hallucinate and produce false or incorrect Outputs. To address this limitation, we always ensure that AI Outputs used in providing our Services are reviewed by an expert team member at critical junctures for accuracy and validity.
b) Security Risks. Like any computer system, AI systems can potentially be vulnerable to cyber-attacks. To address this limitation, we carefully screen the third-party AI tools/models that we use in providing our Services partially based on the security those third-party service providers implement, as well as implementing our own forms of cybersecurity for our internal environments and external communications.
c) Bias. AI systems are trained on particular sets of data. Depending on the data inputted into any given AI system, AI systems can produce biased Outputs due to issues with the data on which they are trained. Our internal AI model is specialized and based on one set of ever-growing data – our years of extensive experience writing successful grant applications.
d) Legal Compliance. The legal and regulatory environment related to AI tools is constantly and rapidly changing. Governments around the world are considering the short and long-term impacts of AI usage and may implement legislation in the future that could restrict or limit the ways that AI systems can function and how they can be used. Additionally, the Outputs of openly available AI models that are trained on readily available internet data may potentially violate intellectual property or other rights of third parties – for example, an openly available GPT may have received as an Input protected intellectual property or proprietary business information not authorized for general use by its rightful owner.
To address this limitation, we take reasonable efforts to stay up-to-date on legislative updates to intellectual property laws and other laws governing the use of AI, and we again ensure that all AI Outputs generated in the course of providing our Services to you are reviewed by a member of our team for accuracy, validity, and context.
